I’m seeking an organized and proactive Operations & Marketing Manager / Executive Assistant to work closely with me in helping guide and grow a niche business serving entrepreneurs in the group home and housing industry.
This role focuses on strategy execution, operational organization, marketing coordination, and team management. You will work directly with the founder to translate ideas into clear action plans, establish priorities, coordinate tasks across the team, and help ensure initiatives are implemented effectively.
About the Business
The business supports entrepreneurs operating in the group home and housing industry, including operators of:
• group homes
• transitional housing programs
• sober living homes
• independent living homes
• shared housing programs
Many entrepreneurs entering this space are building their businesses while also learning how to structure and operate them effectively.

About the Role
You will work closely with the founder to help transform ideas and strategic direction into structured plans and coordinated execution.
Your role includes helping the company stay organized, maintain forward momentum, and ensure projects move from concept to completion.
You will collaborate directly with the founder while also coordinating work with the existing VA team.
Key Responsibilities
Strategic Planning & Execution
• work with the founder to turn ideas into step-by-step action plans
• help structure marketing and operational strategies
• organize projects into clear tasks and timelines
• help establish company goals and priorities
• track progress toward those goals
Operations Coordination
• maintain organization across ongoing projects and initiatives
• create structured workflows for recurring tasks
• develop Standard Operating Procedures (SOPs)
• help implement systems that improve efficiency
Team Coordination & Task Delegation
• assign tasks to the VA team
• monitor deadlines and progress
• ensure work is completed accurately and on schedule
• help maintain clear direction across the team
Marketing Coordination
The founder develops the messaging and copy. Your role is to coordinate and implement the marketing efforts behind it.
Responsibilities include:
• organizing marketing initiatives
• scheduling and distributing content
• maintaining consistent visibility across platforms
Primary platforms include:
• Facebook
• Instagram
• Threads
• YouTube
• LinkedIn
• Google Business Profile
• Yelp
Lead Generation & Contact Building
• identify potential clients and opportunities within the industry
• build and organize contact lists
• maintain records of potential leads and partnerships
Cold calling is not required.
File Organization & Backend Operations
• maintain organized digital file systems
• manage internal documentation
• ensure materials and resources are easy to locate and access
Industry Awareness
• stay informed about developments in the group home and housing industry
• identify trends, tools, and opportunities relevant to the business
• suggest ideas for improving operations or marketing initiatives
Planning & Accountability
• meet regularly with the founder to review priorities and progress
• help schedule timelines for projects and initiatives
• maintain clarity around goals and next steps
