Overview We are a boutique PR and marketing agency and our team secures media coverage daily for clients across digital publications, television, print, and online outlets. We are looking for a systems-minded automation specialist to help us design and build an internal workflow that organizes press coverage alerts, generates client-ready emails automatically, and connects our reporting and task management systems. This project will create a centralized Coverage Automation System that captures press hits, processes them through a workflow, and prepares polished client-ready emails that our team can quickly approve and forward. This is a project-based engagement with potential for ongoing work if the system performs well. Project Deliverables The selected specialist should be able to provide: • workflow architecture • automation build • integrations between tools • testing and refinement Project Goal Our PR team receives daily press coverage alerts from sources such as: Muck Rack Google Alerts journalist notifications manual article discovery Currently, sharing coverage with clients requires several manual steps including: reviewing the article determining whether it should be shared writing a quick email summary tracking the coverage in a spreadsheet creating reporting widgets assigning follow-up tasks While each task is small, the process creates unnecessary manual work and email clutter. We want to build a system that automatically processes coverage alerts and generates client-ready emails, allowing our team to simply review and forward them when appropriate. Desired Outcome A centralized workflow system that: • captures press hits automatically • stores them in a structured database • enriches the coverage data where possible • generates client-ready coverage emails automatically with a visual preview of the article embedded • sends those emails internally for approval • allows the team to forward the exact email to clients with minimal editing • groups related coverage into digest emails when multiple articles appear (create time delay) • maintains a clean backend database for reporting and tracking The goal is to remove manual steps while preserving editorial oversight.
