Project: SharePoint Workflow and Forms Modernisation

Project Overview
Ashley & Martin is seeking an experienced Microsoft Power Platform / SharePoint developer to modernise an internal workflow system currently running on SharePoint Server (on-premises).
The primary goal is to rebuild a Disputes Management workflow that currently relies on legacy InfoPath forms and SharePoint workflows, replacing it with a modern solution using Power Apps, Power Automate, and SharePoint Online.
A secondary workflow (Referrals) may also be included as part of this engagement depending on scope and approach.
The goal is to create a clean, maintainable solution that improves usability, automation, and reporting.

Primary Scope – Disputes Management System
The current disputes process is implemented using InfoPath forms stored in a SharePoint document library, with workflow automation based on status changes.
This solution needs to be rebuilt using modern Microsoft tools.
The new system should include:
• A Power Apps form interface for submitting and managing disputes
• SharePoint lists to store dispute records and related data
• Role-based views and editing depending on workflow stage
• Workflow automation using Power Automate
• Email notifications throughout the dispute lifecycle
• Executive approval or rejection step
• Finance processing stage where required
• Ability for staff to communicate updates within a dispute
• Export / reporting functionality (e.g. Excel export)
The system should support a structured workflow such as:
1. Dispute submission by clinic staff
2. Internal review by operations team
3. Executive approval or rejection
4. Finance processing (if required)
5. Completion and notification to relevant stakeholders

Secondary Scope – Referrals Workflow (Optional)
Ashley & Martin also maintains a referrals tracking process currently based on a SharePoint list.
If included in the engagement, the solution should:
• Process inbound emails from a shared mailbox generated by website form submissions
• Automatically create referral records in SharePoint
• Send notifications when referral status changes
• Support migration of existing referral data
This component is secondary to the disputes solution and may be included depending on project scope and proposal.

Technical Requirements
Applicants should have strong experience with:
• Power Apps (SharePoint-based forms)
• Power Automate
• SharePoint Online
• SharePoint Server / on-prem environments
• Migration or modernisation of InfoPath solutions
• Microsoft 365 permissions and service accounts
Experience rebuilding legacy SharePoint workflow systems using the Power Platform is highly desirable.

The successful contractor will deliver:
• Disputes management system built using Power Apps and SharePoint
• Supporting SharePoint lists and data structures
• Workflow automation using Power Automate
• Email notifications and approval workflows
• Export and reporting capability
• Deployment into the production environment
Optional deliverable:
• Referrals workflow automation if included in scope.
