We are seeking an experienced Microsoft 365 / Power Automate consultant to design and implement a reliable automation connecting a SharePoint Online list to an Outlook shared calendar. The goal is to ensure key project deliverables tracked in a SharePoint list automatically appear as events in a shared Outlook calendar and stay synchronized when items are updated. Current Setup SharePoint Online list used as a Master Workplan Partial Power Automate flow (not functioning reliably) Outlook shared calendar used for team visibility The current flow needs to be audited and rebuilt (if necessary) to function reliably. Scope of Work The consultant will design and implement a Power Automate workflow that: Calendar Creation Creates an Outlook calendar event when a relevant list item is created Uses list fields to populate the event title and description Event Details Event title should include key identifying fields (e.g., project or deliverable name) Event description should include additional list fields and links where available Date Handling Create an all-day event spanning start and end dates from the SharePoint list Synchronization When the SharePoint item is updated, the event should update accordingly (including date changes) Preferred (if feasible) If additional information is added to the list item later (for example a deliverable link), the event description should update to reflect that change Lifecycle Management Store the Outlook Event ID in SharePoint Prevent duplicate events Update the existing event rather than creating new ones Delete or cancel the event if the SharePoint item is cancelled Reliability Avoid trigger loops or duplicate events Handle timezone correctly Documentation Provide brief documentation of the workflow Provide a short recorded walkthrough (10–20 minutes) Optional (If Within Scope) Depending on complexity and time remaining: Weekly summary email showing upcoming items requiring review OR Targeted Teams reminder to item owners Engagement Details Short engagement (estimated 10–20 hours) Remote Fixed-scope project Requirements Demonstrated experience with Power Automate + SharePoint Online + Outlook calendar integration Experience designing workflows that create and update calendar events from list data Ability to structure reliable flows that avoid duplicate events Clear communication and documentation When Applying Please Include 1️⃣ A brief explanation of how you typically synchronize SharePoint list items with Outlook calendar events without creating duplicates 2️⃣ An example of a similar automation you have built 3️⃣ Estimated hours and rate We are not seeking a full system redesign — this is a focused workflow automation project.
