We are looking for a detail oriented operations specialist to help clean up and optimize our current systems. Our company uses HubSpot as our CRM and QuickBooks for invoicing, and over time both systems need organization and better automation.
This role is part systems cleanup, part process improvement. We are looking for someone who understands how CRMs should actually function and can help build a more efficient structure.
You should be comfortable working independently, identifying issues, and proposing improvements.
Primary Responsibilities
HubSpot CRM
• Clean up contacts, companies, and deal records
• Remove duplicates and organize data fields
• Review and improve pipeline stages
• Build workflows and automations
• Set up lead routing and internal notifications
• Assist with segmentation for marketing and sales
• Help create simple reporting dashboards
Email Marketing
• Set up email campaigns inside HubSpot
• Build contact lists and segmentation
• Create automated follow up sequences
• Optimize basic campaign tracking
QuickBooks
• Help clean up invoices and customer records
• Organize invoice history and reconcile inconsistencies
• Assist with improving invoicing workflow
• Ensure CRM and invoicing data stay organized
Ideal Candidate
• Strong experience with HubSpot CRM
• Experience building HubSpot workflows and automations
• Experience with email marketing inside HubSpot
• Familiarity with QuickBooks
• Strong attention to detail
• Comfortable auditing existing systems and suggesting improvements
• Excellent communication
Nice to Have
• Experience with B2B companies
• CRM data cleanup projects
• Operations or RevOps background
Project Details
• Initial project: CRM and invoicing cleanup
