We process ~400 Certificates of Insurance (COIs) annually and need an automation to reduce manual work. COIs are downloaded locally and uploaded to a shared drive. The automation should watch an “Intake” folder, classify COIs (EOP vs General Liability), extract key fields from GL PDFs (pages 1–2), rename files using our convention, route them into the correct folder structure (GL: Active / Development / Services), and generate an audit log. Exceptions (missing/unclear fields) must be routed to a “Needs Review” folder with a clear reason. We are open to suggestions on the platform/location these COIs will live on.
Core requirements (must-have):
- Monitor an intake folder and process newly added PDFs.
- Classify COIs: EOP vs GL (GL needs full processing).
- For GL PDFs: extract Named Insured + Property Name + Additional Insured/Funder (primarily from page 2 at the same place on every certificate).
- Rename to: [Named Insured] – [Property Name] – [Additional Insured or Funder].pdf
- Auto-file GL into: GL / Active, GL / Development, GL / Services (routing can use a configurable mapping file).
- Handle duplicates safely (no overwrites; keep multiple variants with suffixing).
- Produce a CSV/Excel-friendly log (original name/path → new name/path + extracted fields + status).
- Exception handling: send uncertain cases to Needs Review with a brief summary of what was extracted / what’s missing.
Nice-to-have:
- OCR fallback for scanned PDFs (only when text extraction fails), although it is very unlikely any will need to be scanned as we download this from the insurance website.
- Simple admin guide + configuration file (paths, year, routing map).
- Packaging as a small Windows service or scheduled task.
Deliverables:
- Working automation (Python preferred, or another robust approach) + install/run instructions
- Config template (folder paths + routing map)
- Sample run + validation on a representative batch (30–50 PDFs)
- Documentation for staff on handling “Needs Review”
