Job Overview
We are a growing tax and accounting firm seeking a TaxDome Strategist & Automation Expert to help optimize and automate our client workflows, pipelines, and internal operations using TaxDome.
This role is ideal for someone who understands both TaxDome and the operational needs of a tax firm. The goal is to create efficient systems that allow our team to move clients smoothly through onboarding, tax preparation, bookkeeping, and tax resolution services.
You will work directly with the owner to design and implement automation strategies that improve efficiency, client communication, and internal workflow management.
This is a remote, part-time consulting role with the potential to grow into a long-term position.
Primary Responsibilities
TaxDome Strategy & System Design
Evaluate our current TaxDome setup and identify workflow improvements
Design scalable client pipelines for:
Personal tax returns
Business tax returns
Bookkeeping services
New business formation
Tax resolution services (including Offers in Compromise)
Build structured pipelines that track clients from intake to completion
Automation Development
Create automated workflows for:
Client onboarding
Document collection
Task assignment
Client reminders and follow-ups
E-signature requests
Implement automation that reduces manual administrative work
Client Portal Optimization
Configure client organizers and questionnaires
Improve document request workflows
Ensure clients can easily upload and sign documents
Improve client communication processes
Pipeline & Task Management
Create standardized task templates for the team
Design internal dashboards to track progress and deadlines
Improve internal accountability through workflow visibility
Integration & Automation Tools
Implement integrations with tools such as:
Zapier
Google Workspace
Calendars
Email systems
Help automate repetitive administrative tasks
System Documentation
Document the systems you create
Build clear SOPs so our team can maintain and use the workflows
Required Skills
Strong experience using TaxDome
Experience building automations and workflows
Familiarity with tax or accounting firm operations
Experience using Zapier or similar automation platforms
Ability to design structured pipelines and task systems
Strong organizational and systems thinking skills
Preferred Experience
Experience working with tax preparation firms
Familiarity with QuickBooks Online
Understanding of tax resolution workflows
Experience with ProConnect Tax or TaxSlayer
Experience building client onboarding systems
Project Goals
The primary goal of this role is to help us build a well-organized and automated operational system inside TaxDome so that:
Clients move smoothly through workflows
Documents and tasks are tracked properly
The team always knows what needs to be done
Administrative bottlenecks are eliminated
Work Schedule
Part-time, flexible hours
Estimated 5–15 hours per week initially
Compensation
$20 – $45 per hour depending on experience.
