Project Overview We are a B2B rice and grains exporter looking to automate our first-contact sales conversations on WhatsApp. We need an AI-powered chatbot built on the WhatsApp Business API that qualifies incoming leads, answers product and company questions, and escalates the right conversations to our sales team via email. The AI-powered chatbot must be embedded on the homepage of our website. We have a cloud N8N licence. So all workflows MUST be created on this platform ONLY What Needs to Be Built 1. Lead Qualification Workflow • Open-access model — visitors can ask product/company questions freely without being gated • Qualification triggered only when a visitor asks about pricing, requests a quote, or asks to place an order • Bot collects: name, business details, business type, country, products of interest, MOQ, intended use • Qualified or Unqualified Classifies leads as • Unqualified leads receive a warm redirect to a sister retail portal • Returning unqualified users recognised by phone number — not re-qualified for 90 days 2. RAG-Powered Knowledge Base • Knowledge base built from client website and full product catalog (~35 SKUs) • Bot answers product, certification, services, and company questions from the KB • Fallback to OpenAI/ChatGPT for general knowledge questions not in the KB • Unknown company-specific queries trigger an email alert to the sales team 3. Pricing & Quotation Handling • Qualified leads requesting pricing → bot collects details, sends structured email to sales team • Unqualified leads requesting pricing → polite decline with retail portal redirect • No actual pricing is displayed by the bot 4. Sample Request Handling • Any mention of samples → immediate redirect to designated retail portal (no qualification needed) 5. Automated Email Notifications • Qualified lead pricing/quotation request: includes lead details, qualification answers, chat summary • Unknown query the bot cannot answer: includes question, user phone number, conversation context 6. Multilingual Support • English, Hindi, and Hinglish (Hindi written in English characters) • Bot detects language from user input and responds in kind 7. Conversation History & Returning User Recognition • Persistent conversation history stored per WhatsApp name, email and phone number asked by the chatbot • Every chat conversation MUST be saved in a database for future reference purposes • Bot doesn’t need to recognize returning users. Out of Scope • Actual pricing quotation or negotiation (human handoff only) • Order processing or payment collection • Incoterms, payment terms, or shipping cost calculations What We Need from You Please include the following in your proposal: • Your proposed approach and tech stack • Estimated timeline to completion • Fixed price or hourly rate estimate • Relevant past work (WhatsApp bots, RAG systems, lead qualification flows) A full BRD with detailed functional requirements, qualifying question scripts, and conversation flow examples will be shared with shortlisted candidates.
