Description
We are looking for an experienced Microsoft 365 / Power Platform developer to design and implement an automated monthly board reporting system using:
- SharePoint Lists
- Power Automate
- Word template generation
- PDF output
We need structured governance, approvals, conditional document generation, and automation logic done properly.
Project Overview
We currently prepare monthly board reports manually. We want to automate the process end-to-end:
1. Department heads submit monthly reports via SharePoint Lists
2. CEO approval workflow (approve/reject with comments)
3. Automatic status tracking and reminder emails
4. Automatic board pack generation once ALL required reports are approved
5. Board pack saved as Word + PDF
6. Clean formatting including front cover and table of contents
The system must be structured, scalable, and secure.
Scope of Work
1) SharePoint Lists Setup
Create structured SharePoint Lists for:
- Sales (AU + NZ separate submissions)
- Ops (AU + NZ separate submissions)
- Finance (AU + NZ + China separate submissions)
- China GM
- Executive Summary (CEO submission)
Each list requires:
- Structured text fields (multiple sections)
- Status workflow field (Draft / Submitted / Approved / Rejected)
- Automated timestamping
- CEO approval comments field
- Permissions configured so functions cannot see each other’s reports
2) Power Automate Flows
Flow 1 – Submission & Approval
- Trigger when Status changes to Submitted
- Send approval to CEO
- Approve → Status auto changes to Approved
- Reject → Status auto changes to Rejected with comments
- Resubmission resets to Submitted
Status must not be manually editable outside workflow.
Flow 2 – Automatic Board Pack Generation
- Trigger when any item is Approved
- Check that ALL required submissions for the selected Month are Approved:
- Executive Summary
- Sales AU + NZ
- Ops AU + NZ
- Finance AU + NZ + China
- China GM
- If complete → auto-generate Board Pack
- Populate structured Word template
- Generate table of contents
- Convert to PDF
- Save to SharePoint library
- Notify CEO
Board report order must be:
- Executive Summary
- Finance (AU, NZ, China)
- Ops (AU, NZ)
- Sales (AU, NZ)
- China GM
Sections must only render if content exists (no blank headings).
Flow 3 – Reminder & Status Tracking
Automated reminders:
- 7 days before due date (10th each month)
- 2 days before
- On due date
- Daily overdue reminders
Reminder email must include:
- List of all required submissions
- Current status of each
Additionally, CEO must receive status summary notification every time an approval decision is made.
3) Board Pack Template
Create a clean, professional Word template that includes:
- Front cover (Month, Company Name, Confidential)
- Auto-generated table of contents
- Structured sections per entity and function
- Conditional rendering of sections
Deliverables
- Fully configured SharePoint Lists
- All Power Automate flows built and tested
- Master Board Pack Word template
- Documentation of architecture
- Handover walkthrough session
- Exported solution package (so we own the build)
Required Experience
- Advanced Power Automate experience (approval logic + conditional document generation)
- SharePoint permissions and list design
- Word template content controls for automation
- Experience building structured governance workflows
- Strong attention to detail

We would like this completed by 10th of March
