We are a growing tax education company that also supports clients with formation and compliance-related services. We are seeking a highly experienced Automation Systems Architect to design and implement a scalable operational system using GoHighLevel and Monday.com. This is not a basic workflow setup project. We need someone who can design long-term system architecture that supports: • Client onboarding • Payment automation • Compliance tracking • Recurring deadline management • Internal task automation • Operational visibility for leadership • Scalable growth over the next 3–5 years Our Current Tools: • GoHighLevel (invoicing, payments, forms, messaging, pipelines) • Monday.com (internal operations, task tracking, compliance boards) Current Challenge: Our systems are functional but not fully integrated. Many processes between payment, onboarding, document collection, compliance tracking, and completion are still handled manually. We are not looking for patchwork automation. We are looking for a systems architect who can design and build a scalable operating structure. Scope of Work Phase 1 – System Architecture & Mapping • Map the full lifecycle from payment to completion • Define standardized status and pipeline structure • Design trigger logic across GHL and Monday • Identify workflow conflicts and inefficiencies • Present system blueprint before build Phase 2 – Automation Implementation • Payment-triggered onboarding automation • Intake form and document reminder automation • GHL → Monday task creation and updating • Role-based task assignment logic (not person-dependent) • Compliance timeline automation (time-based triggers such as 4-week, 8-week, 10-week follow-ups) • Recurring annual/biennial state filing reminder engine (45/21/7-day logic) • Automatic stop triggers when statuses change • Payment reminder logic cleanup Phase 3 – Optimization & Governance • Automation documentation • Reporting and visibility improvements • Automation conflict prevention • Scalable naming conventions and system organization • Testing and QA before deployment What We ARE Looking For • 5+ years experience designing automation systems • Deep experience with GoHighLevel and Monday.com • Strong systems thinking and process engineering ability • Experience with deadline-driven or compliance-based workflows • Ability to think long-term scalability • Strong documentation skills
