About Us
We are a growing Australian web design and SEO agency working with service-based businesses across Australia.
Our clients deal directly with us for strategy and direction. We are now building a small internal support team to ensure projects run smoothly behind the scenes.
We are looking for a highly organised, proactive Project & Operations Coordinator who can help manage delivery, systems and client admin while we focus on strategy and growth.
This is not a typical VA role. We are looking for someone who can take ownership of operations and ensure nothing falls through the cracks.
Your Role
You will support the founders directly and take ownership of project coordination and internal operations.
You will not be responsible for sales strategy or SEO strategy. Those stay with us.
You will ensure projects move forward efficiently and clients receive timely communication and reports.
Core Responsibilities
1. Inbox & Executive Support
Monitor inboxes daily
Highlight urgent items
Draft replies for review
Categorise and filter emails
Schedule meetings and confirm appointments
Prepare meeting agendas and documents
2. Sales Support (Non-Strategic)
Attend sales calls and take structured notes
Log scope details and requirements
Prepare proposals using templates
Send follow-ups
Track leads in ClickUp
Set up onboarding once a client signs
3. Project Management (Core Responsibility)
Create and manage projects in ClickUp
Assign tasks to designers and developers
Set realistic deadlines
Monitor task progress daily
Follow up on overdue tasks
Flag risks or delays early
Provide weekly project updates to the founders
Ensure no task sits idle
4. WordPress & Website Support
Safely update plugins and themes
Perform backups before updates
Test functionality after updates
Upload and format blog posts
Add images and alt text
Basic Elementor edits
Apply meta titles and descriptions provided
You are not required to do development work.
5. Reporting
Generate monthly SEO reports
Pull GA4 data
Compile care plan reports
Send reports to clients
Track report confirmations
6. Process & Systems
Improve ClickUp workflows
Maintain project templates
Help document SOPs
Identify bottlenecks
Suggest automation improvements
Required Skills
Strong ClickUp experience (essential)
WordPress experience
Basic understanding of SEO
Excellent written English
Highly organised and proactive
Able to manage multiple projects at once
Comfortable following instructional videos and SOPs
Nice to Have
Experience with Elementor
Experience with Yoast SEO & All In One SEO
GA4 & Looker Studio familiarity
Agency experience
Interest in learning more about SEO over time
Working Arrangement
Flexible with time, but there must be some overlap with Australian business hours (AEST)
Available for weekly team call
Initially 20 to 30 hours per week
Potential to grow into full-time role
