GoHighLevel Systems Architect – Real Estate Platform Infrastructure (Master Snapshot Build)
PROJECT OVERVIEW
We are building production-level backend infrastructure inside GoHighLevel to power a multi-client real estate platform. This is not a funnel setup. This is a systems architecture build designed for replication, automation reliability, data integrity, and long-term scalability.
The objective is to engineer a clean, standardized master template account that can be duplicated across sub-accounts without structural risk. The final system must be organized, documented, validated, and snapshot-ready.
CORE OBJECTIVE
Design and build a complete real estate CRM and automation framework including:
• Buyer, Seller, Valuation, and Open House funnels
• Structured CRM pipelines
• Custom field architecture and standardized tag framework
• Calendar booking system
• SMS and email automation engine
• Facebook lead integrations
• Attribution and reporting structure
• Internal onboarding system
• Snapshot-ready master template
• Documentation and QA validation
System must support multi-client duplication without rework.
PHASE 1 – ARCHITECTURE
Naming Standards
Implement strict naming conventions across workflows, tags, custom fields, pipelines, calendars, and campaigns.
Data Model
Deliver a documented field dictionary outlining field types, capture source, workflow dependencies, and required vs optional status. Fields must be logically grouped (Buyer, Seller, Property, Attribution). No duplicates.
Tag Framework
Create a standardized taxonomy (LEAD, SOURCE, STATUS, ACTION, CAMPAIGN). Tags must be non-redundant and documented.
Permissions
Implement role-based access controls to protect core automation assets.
PHASE 2 – FUNNELS AND CRM
Build Buyer, Seller, Valuation, and Open House funnels.
Each must include:
• Landing page
• Form integration
• Calendar booking
• Automation trigger
• Confirmation page
Requirements:
• Mobile optimized
• No hard-coded client data
• Placeholder-based structure
• Snapshot-safe configuration
CRM pipelines must move contacts automatically based on submissions, bookings, tag triggers, and stage updates.
PHASE 3 – AUTOMATION ENGINE
Workflows must be modular and clearly named. No multi-purpose or spaghetti workflows.

Nurture Systems

PHASE 4 – DELIVERABILITY
Configure or document:
• Email authentication (SPF, DKIM, DMARC)
• Mail provider configuration
• SMS compliance awareness (A2P / toll-free)
• STOP/DND enforcement
• Quiet hours and frequency controls
System must be deliverability-ready.
PHASE 5 – INTEGRATIONS
Integrate and validate:
• Facebook Lead Ads
• Webhooks if required
• Zapier if required
• Calendar syncing
• Domain mapping
All integrations must be tested end-to-end.
PHASE 6 – REPORTING
Implement UTM standards, lead source mapping, opportunity tracking, and attribution fields.
Deliver a dashboard showing:
• Lead volume
• Booked appointments
• Show rate
• Closed deals
• Conversion metrics
System must demonstrate measurable ROI.
PHASE 7 – ONBOARDING
Build onboarding infrastructure including intake form, asset checklist, setup automation tasks, and internal status pipeline.
PHASE 8 – QA
Project is complete only when:
• Test submissions trigger correct tags and workflows
• Appointment automations function correctly
• No-show logic works
• Duplicate submissions do not conflict
• STOP/DND logic works
• Snapshot duplicates cleanly
• Email authentication is validated
• Loom walkthrough and documentation delivered
PHASE 9 – SNAPSHOT DELIVERY
Deliver a clean master snapshot with no test data or client branding. Provide duplication proof and launch instructions.
Snapshot must duplicate into a fresh sub-account with zero structural errors and no hard-coded assets.
