I run a growing roofing company in South Florida, and I am looking for a bilingual back-office / operations coordinator who can help me create structure, speed, and consistency in our workflow. We already have ROOFR as our CRM, but the system still needs stronger implementation, cleaner workflow management, and better day-to-day coordination. I need someone who can help reduce bottlenecks and take ownership of repetitive but critical back-office tasks so I can stay focused on sales, pricing, field supervision, and high-level decision-making. Main responsibilities may include: - CRM updates and pipeline management in ROOFR - Lead and customer file organization - Appointment scheduling and confirmations - Proposal preparation support and estimate follow-up - Document handling and e-signature follow-up - Material order preparation support - Job coordination and internal status tracking - Billing milestone support and invoice follow-up - Customer communication and closeout follow-up - Building and improving workflows, checklists, and SOPs - Helping identify where jobs stall and improving visibility across the process Important: Experience in roofing operations, roofing administration, restoration, or construction coordination is strongly preferred Experience with CRMs such as ROOFR, JobNimbus, AccuLynx, or similar is highly preferred Bilingual English/Spanish is strongly preferred Strong written communication, organization, urgency, and attention to detail are required I am not looking for a generic VA. I am looking for someone who understands operational flow and can help build a reliable back-office system Additional preferred experience: - QuickBooks Online familiarity is strongly preferred - Experience supporting invoicing, payment tracking, accounts receivable follow-up, and billing milestone coordination is a plus - Experience working with CRM-to-accounting integrations is highly valuable, especially in roofing or construction environments This role is not intended to replace a full bookkeeper or accountant, but it should support clean financial workflow between ROOFR, invoicing, and job status.
