Project Overview We are a boutique Leadership & Development (L&D) company delivering leadership programs, executive coaching, assessments, executive education partnerships, and speaking engagements. We are seeking an experienced CRM & AI Automation Specialist to design and implement Phase 1 & 2 of our sales and marketing automation system: * Phase 1: CRM Setup & Website Integration * Phase 2: Lead Automation & AI Qualification The goal is to centralize all leads into one CRM and deploy AI-driven qualification and scheduling automation. --- Project Scope (Phase 1 & 2 Only) 1. CRM Selection & Setup You will: * Recommend the most suitable CRM (HubSpot, Zoho, Salesforce Essentials, or equivalent) * Design CRM data architecture (Contacts, Organizations, Opportunities, Services) * Configure pipeline stages: * Lead Captured * Qualified * Discovery Scheduled * Proposal Sent * Negotiation * Contract Signed * Active Client * Define lead segmentation logic (industry, geography, service type, source) * Configure custom fields and tagging logic --- 2. Website Integration We need automation for: * Contact forms * Free assessments * Paid assessments (with payment gateway integration) * Surveys Requirements: * Automatic lead capture into CRM * Source tagging * Tracking pixel setup * Email notifications * GDPR-compliant data handling --- 3. Lead Source Integration Integrate the CRM with: * LinkedIn (ads + lead forms) * WhatsApp (automation + chatbot) * Instagram * Facebook * Newsletter subscriptions * Webinar registrations * Incoming emails (auto-create leads) * Manual networking entry workflow All leads must automatically flow into the CRM with proper tagging. --- 4. AI Agent Implementation Deploy AI-enabled automation capable of: * Auto-reply to inbound inquiries * Asking qualification questions * Capturing structured responses into CRM * Lead scoring based on: * Organization size * Budget indication * Urgency * Leadership level * Engagement behavior * Automated scheduling via calendar integration (Google/Outlook) --- 5.
