My name is [Your Name], and I represent Byggsentralen, a Norwegian tender platform within the construction industry. Our website (byggsentralenas.no) is built on Webflow.
We currently receive a significant number of contact form submissions from our website. Today, these leads are sent to our email and manually forwarded to relevant construction companies. Our revenue model includes payment per lead, monthly subscription agreements (fixed fee for unlimited leads), and commission on larger projects.
Up until now, we have managed everything using Excel. We are now ready to implement a proper CRM system and automate the entire workflow in a scalable and structured way.
Objective
We are looking to build an automated lead distribution system that captures leads directly from Webflow into a CRM, categorizes leads (electrician, plumber, etc.), and automatically distributes each lead to 5 relevant partner companies per round.
Partners must be able to respond via buttons (Won / Lost / No response), and the CRM should update automatically based on their response. If no partner wins the project within a defined time period, the system must automatically distribute the lead to 5 new companies. The system must also ensure that the same partner never receives the same lead twice.
We need full tracking of which partners received each lead, conversion rate per partner, revenue per partner, and commission on larger projects. We expect approximately 200+ leads per month, with plans to scale further.
Preferred Technical Setup
We are open to your professional recommendation, but currently considering Pipedrive (or another established CRM platform), Make.com (preferred) or Zapier for automation, and webhook/API integrations.
We want minimal manual handling, a clear data model, and a scalable architecture. We do not want to build a custom CRM from scratch — we want to use an established CRM platform and have it properly configured and integrated.
Expected Deliverables
CRM setup and configuration, data model design for leads, partners, and distribution rounds, partner database structure, automated 5-by-5 distribution logic, automated partner response system (button-based updates), reporting dashboard, documentation, and handover.
Please include in your response how you would structure the data model, how you would implement the 5-partner distribution rounds, how you would handle automated partner responses, your estimated timeline and budget, and examples of similar automation/CRM projects you’ve built.
We are looking for someone who can think architecturally and build a long-term scalable system, not just basic automation.
