Urgent: We are migrating data from our electronic health record (EHR) Tebra to PracticeQ (IntakeQ) and have a critical data gap. We lose access to Tebra this Friday February 27th. The Problem: Tebra has provided provider chart notes as XML exports. These are currently "raw" and unformatted (non-human-readable). We need these provider chart notes converted and uploaded into the corresponding patient profiles in PracticeQ so our providers can actually use them for continuity of care. We also need these XML files to become suitable documents for patient records requests, should they request their records in the future. We have about 450 patients and each patient has on average 10 provider chart notes contained within the one XML exported file we were given. Goals: Transform raw XML data into clean, professional, human-readable PDF documents. We have one XML file per patient that should be transformed into one human-readable pdf document per patient. We have about 450 XML files needing this. Automate/bulk-upload these PDFs into the "Files" section of the correct patient charts in PracticeQ. Ensure 100% data integrity (no missing notes or mismatched patients). Ensure 100% HIPAA Compliance. Technical Expertise: We are looking for an expert who can automate this process for a time-efficient result. Whether you use the PracticeQ API, a custom script, or automation tools, we need a solution that is faster and more reliable than manual uploading of thousands of PDFs. Your solution must be HIPAA Compliant. Compliance (Non-Negotiable): This project involves Protected Health Information (PHI). You must be willing to sign a Business Associate Agreement (BAA). You must demonstrate HIPAA-compliant data handling (encryption, secure deletion after project end). Timeline: This is an urgent project that must be completed by end of February.
