About Us
We are a steel manufacturing company based in India. We export steel products (transmission towers, steel poles, bridges, substations, and more) to governments and companies around the world — mainly in Africa.
Right now, we manually check dozens of government websites to find tenders (procurement opportunities). We then classify them, research who won them, and write outreach emails. This takes hours every day.
We want to automate this entire process using AI agents.
What We Need: 3 AI Agents
We need you to build 3 AI agents that work together as a system. Each agent has a clear job.
Agent 1 — The Tender Finder
Job: Visit a list of websites every day, find new tenders, and put them in a Google Sheet.
1. We will give you a list of around 56 electricity board websites across Africa, plus World Bank, African Development Bank, and other international sites. We already have the exact URLs and the exact pages where tenders are published.
2. The agent visits each website on a schedule (daily or twice daily).
3. It finds any new tenders published since the last check.
4. It extracts: tender title, reference number, issuing authority, country, deadline, and link.
5. It classifies each tender into one of three stages:
6. Open for Bidding — Tender is live. Deadline has not passed. We can still apply.
7. Closed — Result Pending — Bidding is over but no winner announced yet.
8. Awarded — A winner has been announced. We want to know who won.
9. All results go into a Google Sheet automatically — one master sheet, updated daily.
10. The agent should also score each tender for relevance (how closely it matches what we sell). We will provide the scoring criteria and product list.
Agent 2 — The Research Agent
Job: Take the tenders found by Agent 1 and dig deeper. Find out more about each opportunity.
1. For "Open for Bidding" tenders: Find the full tender documents, technical requirements, estimated value, and contact details of the procurement team.
2. For "Closed — Result Pending" tenders: Search the web for updates. Has a winner been announced somewhere else? Is there a date for the award decision?
3. For "Awarded" tenders: Find out who won. What company? Where are they based? Can we approach them as a supplier or subcontractor?
4. Also search for related intelligence: similar upcoming projects, the buyer's future plans, competitor activity, news articles.
5. Update the Google Sheet with all findings.
Agent 3 — The Email Writer & Sender
Job: Based on the tender stage and research, automatically draft and send outreach emails using the right template.
1. We have 3 email templates — one for each stage. We will provide these.
2. The agent picks the right template based on the tender stage.
3. It fills in the details: project name, country, contact name, our relevant product, etc.
4. The draft goes into a review queue (Google Sheet or dashboard) where we approve or edit before sending.
5. Once approved, emails go out through an email sequencing tool like Instantly, Smartlead, or similar — connected via Zapier or Make.com.
6. Must support inbox rotation (sending from multiple email addresses to avoid spam filters).
7. Follow-up emails should be sent automatically on a sequence (e.g., follow up after 3 days, then 7 days).
