Overview
We are looking for a detail-oriented, highly organized GHL Virtual Assistant and Sales Support Specialist to manage our CRM, ensure zero lead leakage, and support our sales team with structure and accountability.
This is not a passive admin role.
Your job is to make sure:
Every lead is organized.
Every lead is followed up with.
No opportunity gets lost.
Salespeople are doing what they are supposed to do.
You will become the operational backbone of our sales system.
Your 3 Core Responsibilities
1️⃣ CRM Organization & System Integrity (GoHighLevel)
Audit and clean up existing leads inside GHL.
Ensure proper tagging, pipeline stages, and segmentation.
Organize all contacts into correct buckets.
Maintain ongoing CRM hygiene.
Monitor conversational AI flows and ensure leads are categorized correctly.
Move leads into proper stages as conversations progress.
Flag system errors or automation breakdowns.
This is an ongoing responsibility. The CRM must stay clean and structured at all times.
2️⃣ Lead Follow-Up & Pipeline Movement
Your primary mission: No lead left behind.
Ensure every lead receives consistent follow-up.
Monitor AI conversations and human conversations.
Step in when needed to re-engage cold leads.
Track where leads stall.
Make sure sales reps are responding quickly.
Escalate issues when leads are being ignored.
Move leads forward in the sales pipeline.
You are responsible for velocity in the pipeline.
3️⃣ Reporting & Sales Oversight
You will provide weekly reports covering:
Lead volume
Follow-up speed
Stalled deals
Sales rep activity
Conversion bottlenecks
Missed opportunities
Pipeline health overview
You should be able to identify:
Where leads are getting stuck
Which salesperson is lagging
Where follow-up is breaking down
Trends and patterns
We want someone who thinks critically, not just someone who sends spreadsheets.
Required Skills
Strong experience with GoHighLevel (GHL)
CRM organization expertise
Understanding of sales pipelines
Ability to track and report KPIs
Excellent written English
Strong attention to detail
Proactive communication
Comfortable working with AI-driven conversations
