We are a profitable, fast-growing US-based Online Education company specializing in Real Estate Licensing. We are currently established in 2 states and are executing a strategic plan to expand to 10 states within the next 2 years.
To achieve this, we must transform from a Founder-Centric business (reliant on the founder's intuition) to a Systemic Organization (reliant on scalable processes).
We are NOT looking for a temporary freelancer, an agency, or a basic Virtual Assistant. We are looking for a Full-Time Operations Manager (Integrator) to serve as the Founder's right hand, running the day-to-day operations so the Founder can focus purely on vision and growth.
YOUR MISSION:
- You will be responsible for Planning, Documenting, and Executing key operational projects.
- You are a Leader: Your job is to ensure projects get done. You will immediately take over the supervision of our existing operations team (4 dedicated resources). You will work alongside this team to execute projects, delegating tasks, and hiring specialized freelancers when we need extra firepower. We are ready to invest in the right help.
- You are a Strategic Partner: You will work directly with the Founder, who is open-minded and loves to brainstorm. We want someone who brings new ideas to the table. No strategy is off-limits if it helps us grow.
- You are Tech-Fluid: You spot inefficiencies naturally. You aren't afraid to say, "Hey, step 3 is redundant; let's automate that with Zapier or AI."
THE FIRST 2 STRATEGIC PROJECTS (THE TEST DRIVE)
To integrate you into the business, we will start with two specific mandates. Success here leads to a long-term, full-time partnership.
Project 1: Asana Ownership and Team Adoption
- The Status: We recently set up a structured Asana workspace (Portfolios, Teams, Sections), but the team has not started to use it yet.
- The Gap: We have very limited SOPs. Our key SOPs need to be better documented and living in the system.
- Your Goal: Finish implementing Asana, document key SOPs, and drive team adoption across the organization. You will become the Owner of the Platform, ensuring every new project is documented and the workspace remains clean and organized. It is a non-negotiable requirement that 100 percent of tasks must be entered and documented.
Project 2: CRM and Student Lifecycle Architecture
- The Status: We do NOT use a formal CRM (like GoHighLevel or HubSpot). We rely strictly on Mailchimp's limited features, our LMS data, and our E-commerce transaction lists.
- The Gap: Because our data is scattered, we cannot easily identify potential users for new courses or loyal users to upsell.
- Your Goal: Solve this data puzzle. Whether by implementing a real CRM or integrating our current tools, you must build a system that automatically tags users based on behavior (e.g., Completed Course, Passed Exam, Left 5-Star Review) so we can target them with specific automated offers.
WHO YOU ARE (REQUIREMENTS)
- Full-Time: We need your full focus. If you are an agency or juggling 3 other clients, please do not apply. We need someone available daily for communication, but we are flexible about how the time is managed and scheduled. We will adapt to your time zone.
- Fluent English: You must be able to communicate complex ideas clearly and quickly.
- Leadership: You have strong management skills and are completely comfortable stepping in to manage an existing team of 4 resources, earning their trust while establishing clear accountability.
- An Integrator: You love taking a Visionary's rough idea and turning it into a concrete Project Plan with estimated times and milestones.
- High Integrity: You handle sensitive company and financial data with the utmost confidentiality. We do all our work, communication, and contracts strictly on the Upwork platform.
THE OFFER
- Type: Full-Time Contract. You must be available for at least 30 to 40 hours per week (managed flexibly around your time zone).
- Compensation: Flexible based on experience and proven track record. We pay for Management Skills and Ownership, not just hours logged.
- Structure: We will set clear, funded milestones in Upwork for these initial 2 projects to start.
