I run a private ATM processing and service company. We acquire new merchants, have them sign processing agreements, onboard them into our system, and manage them long-term. I’m looking for a high-level systems architect who can design and implement a clean, scalable operations infrastructure — with automation and AI components. Currently, our systems do not communicate with each other and have zero integration. Every contract is completed manually in a fillable PDF, then the information is manually transferred into DocuSign. Once the client signs, we manually enter the data into all of our internal systems. The entire process involves repeated data entry and unnecessary manual work, which is not sustainable for a modern operation. What We Do Acquire new ATM merchant clients Send and manage processing agreements Track contract details (term length, revenue split, ownership model, compliance status, etc.) Onboard merchants into multiple internal systems Manage support, service calls, accounting, and compliance What We Need We need a centralized contract and client database that: Stores all agreement details in structured format Tracks key terms (renewals, term length, fee splits, inactivity clauses, etc.) Acts as the single source of truth Automates data into: CRM Accounting Support system Operations / service platform Minimizes manual data entry Scales cleanly as we grow Currently using tools such as: CRM (Pipedrive) Airtable (database candidate) DocuSign (contracts) Freshdesk (support) Xero (accounting) Service tracking software (ATM repair & field service) Open to better architecture if justified. AI Component I am also looking to implement AI in the following areas: Extract structured contract data automatically from signed agreements This is not about adding ChatGPT randomly. It’s about intelligently embedding AI into operations.
