Hybrid Transaction Coordinator / Real Estate Operations Assistant:
Full-Time | Remote or Local | Pennsylvania Real Estate Experience Preferred
Position Overview
We are seeking a highly organized, detail-oriented Hybrid Transaction Coordinator (TC) / Virtual Assistant (VA) to support a top-producing real estate agent based in Erie, Pennsylvania. This role will manage transactions from contract to close, assist with CRM organization, support compliance documentation, and help streamline systems and software. The ideal candidate has prior experience supporting real estate agents and understands Pennsylvania real estate contracts and timelines. This is a full-time position with flexibility, but weekend availability (as needed) is preferred.
Core Responsibilities
Transaction Coordination (Start-to-Finish)
• Manage transactions from executed agreement to closing
• Prepare and send documents for signatures (ZipForms or similar platforms)
• Monitor contingency deadlines (inspections, mortgage, appraisal, etc.)
• Communicate with lenders, title companies, co-op agents, and clients
• Ensure all documents are properly signed and uploaded for brokerage compliance
• Track appraisal gaps, addenda, amendments, and extensions
• Prepare listing paperwork and input into MLS (if applicable)
• Coordinate closing logistics
Compliance & Documentation
• Obtain missing signatures and required documents
• Ensure files meet brokerage compliance requirements
• Maintain organized digital file systems
• Upload documents to brokerage platforms
• Track required disclosures and timelines
CRM & Systems Management
• Manage and organize Follow Up Boss CRM
• Input new contacts, tag properly, and assign action plans
• Maintain database hygiene and organization
• Create simple workflows when needed
• Assist agent in learning efficiencies within Follow Up Boss
• Help integrate third-party tools with CRM when possible
Software & Systems Support
• Follow Up Boss
• DocuSign (or similar e-signature platforms)
• MLS systems (Pennsylvania familiarity preferred)
• Google Workspace
• Canva (basic knowledge preferred)
• Third-party marketing platforms (bonus)
• Ability to troubleshoot basic tech issues
• Recommend system improvements and workflow efficiencies
Light Marketing Support (Bonus, Not Primary)
• Basic social media scheduling
• Upload listing posts
• Coordinate with marketing company
• Assist with simple graphics if needed
Required Qualifications
• Prior experience as a Transaction Coordinator or Real Estate VA
• Familiar with Pennsylvania real estate contracts and timelines (strongly preferred)
• Experience working with U.S.-based agents
• Strong written English and professional communication skills
• Excellent deadline management
