Overview
I run a small independent used car dealership. I need a specialist to build a complete end-to-end lead handling system using GoHighLevel and set up Meta + Google lead campaigns and retargeting.
This is NOT a generic “CRM setup” or agency funnel. This is an operational system that:
responds instantly → escalates leads to call/test drive/credit app → enforces no-show rules → scores intent → prepares retargeting audiences.
If you only do templates, drip newsletters, or “pretty funnels,” do not apply.
Goals (What success looks like)
Every lead must end up in one of these outcomes:
Call scheduled / completed
Test drive scheduled / completed
Credit application sent → customer confirms DONE → call scheduled
Silent lead tagged and added to retargeting audiences
Systems & Lead Sources (must all feed into GHL)
Leads will come from:
Gmail ADF email lead capture (and other ADF sources like CarGurus , CarForSale)
Website forms (if direct integration isn’t possible, use webhook/API/form forwarding)
Facebook Lead Forms
Google leads (landing page/form submissions from Google traffic)
Required outcome for ALL sources:
Create/Update Contact → Create Opportunity → Apply correct source tags → Enter pipeline → Trigger automation.
Communication Requirements (SMS + Email simultaneously)
On lead entry:
If phone exists → send SMS
If email exists → send Email
If both exist → send both at the same time
Channel roles (important)
SMS = conversational logic engine (intent detection, finance flow, scheduling, reminders, no-show enforcement)
Email = conversion engine (brief, direct: confirm availability + push them to call/text)
Email should NOT become a long back-and-forth. Its job is to push them into CALL or SMS.
Core Workflow Logic (GoHighLevel)
Step 1 — Intake & Opportunity Setup
Create/Update contact
Create opportunity
Pipeline + stages configured
Apply source tag (CarGurus/ADF, FB, Google, Website)
Step 2 — Instant First Message (SMS + Email)
First message must be brief and urgent without sounding like a bot.
Must include:
“small independent/solo dealership” positioning
confirm inquiry received
confirm vehicle currently available once only
inventory is hand-picked (we don’t sell cars we wouldn’t drive)
priced to sell (cars don’t sit long)
hours: open until 8 PM + Sundays
offer: finance application link OR schedule test drive
strong CTA: call/text
(I will provide exact templates.)
Step 3 — Intent Detection (Inbound Replies)
Detect and route for:
availability
price
financing
test drive / appointment
directions
“DONE / applied / submitted” (finance completion confirmation)
Step 4 — Financing Flow
If financing requested:
AI answers basics: lenders (not in-house), typical credit 510+, down payment varies
send credit app link
When customer replies “DONE / applied / submitted”:
ask for best call time today
create calendar event
notify owner
start call reminders
Step 5 — Calendar Booking + Urgency Reminders
One main GHL calendar that:
prevents double booking
respects blocked time
Required reminders:
15 minutes before call: “Owner will call you in 15 minutes — please be ready.”
(Optional 30-min reminder.)
Missed call logic:
1st missed call → reschedule prompt
2nd missed call → call-only to proceed, stop chasing
Step 6 — Test Drive Logic
schedule into calendar
reminders at 24h + 1h
No-show enforcement:
1st no-show → allow reschedule once
2nd no-show → call-only to proceed, stop automation
Step 7 — Manual Override (Critical)
I must be able to:
drag opportunity stages
add tags manually
…and automations react automatically (start/stop reminders, trigger missed/no-show messages, move to silent lead).
Step 8 — Silent Lead + Retargeting Prep
If lead goes silent:
apply Silent_Lead + model tags
move to Silent Lead stage
add to Meta & Google retarget audiences (audience setup, not full management)
Opportunity Scoring (Intent Score)
Add an “Intent Score” custom field that automatically increases based on actions:
Examples:
reply +1
finance asked +3
credit app sent +4
DONE/apply confirmation +5
call scheduled +6
test drive scheduled +7
Score ranges:
Cold / Warm / Hot / Closing
Workflows and notifications should prioritize high-score leads.
Paid Ads Setup (Meta + Google)
I want paid traffic working (small budgets to start, e.g., ~$20–$30/day per channel).
You will:
set up Meta lead campaign(s) + forms
set up Google lead campaign(s) (form/landing)
ensure tracking (pixel/tag) is correctly installed for remarketing
create retarget audiences:

I will fund the ad accounts. I need clean setup and structure, not “agency scaling.”
