About the Role
We’re looking for a sharp, self-directed Executive Assistant to run the back office of a professional services firm. You’ll manage the executive’s inbox, calendar, and projects — and be trusted to communicate with clients, research business decisions, and keep everything moving without being asked.
This is not a task-taker role. You’ll need strong judgment, excellent writing, and the ability to handle ambiguity. If you need detailed instructions for every task, this isn’t the right fit.
What You’ll Do
Email & Communication Management
• Draft, reply to, and manage the executive’s email inbox
• Communicate directly with clients and partners in a professional, confident tone
• Handle follow-ups and routine queries independently
Scheduling & Calendar
• Coordinate meetings across time zones
• Manage calendar conflicts and prepare meeting briefs
Business Research & Strategy Support
• Research markets, competitors, service providers, and regulations
• Deliver concise summaries with recommendations — not raw data dumps
• Support planning and decision-making with clear analysis
Project Coordination
• Track deliverables and follow up with third parties (accountants, legal, compliance, IT)
• Keep projects moving without being asked
• Coordinate webinars, meetings, and operational tasks
Website & Digital Management
• Update website content (CMS or HTML/CSS)
• Manage website backend (Hostinger and GoDaddy)
• Manage subscriptions, tools, domains, and integrations
• Troubleshoot minor technical issues
Planning & Documentation
• Help structure plans, SOPs, and presentations
• Maintain organised files and records
• Use AI tools to improve speed and output quality
Requirements
• Excellent written and spoken English — you write emails the executive would send without editing
• Strong organisational and problem-solving skills
• Comfortable communicating directly with clients
• Intermediate technical skills (HTML/CSS, CMS platforms, workflow tools)
• Ability to work independently and take initiative
• Available during UK business hours with reliable internet
Nice to Have
• Experience in financial services or professional services
• Familiarity with KYC/AML processes or multi-jurisdiction operations
• Experience with automation tools
