Job Description We are looking for an experienced workflow / CRM / project-management setup specialist to help us optimize our current system and improve how our Events Department manages projects, expenses, and reporting. My name is Rachel, and I am the Director of Special Events for a large hospital system in Florida. Our internal Events Department supports hundreds of events each year, and we currently use 17Hats as a project management and expense tracking tool, although we are using it very differently than most small businesses would. We have tested several platforms (Monday.com, Basecamp, and others), but none of them allowed us to manage both event workflows AND expense tracking in one place, which is why we continue to use 17Hats. At this point, we need expert help to properly configure our system so it actually works for our department. Current Situation We currently have 364 active events on the calendar We recently created an intake form workflow for internal clients We need help building the full event planning workflow structure We need automation between phases of planning We need better expense tracking and reporting We do not have time internally to rebuild the system while also supporting events What We Need Help With We are looking for someone who can: Evaluate how we are currently using 17Hats Recommend improvements OR alternative systems if needed Build workflow phases for event planning (intake → planning → execution → closeout → reporting) Automate internal notifications, task lists, and phase changes Help configure expense tracking in a way that allows reporting by event Help create usable reports for leadership (event counts, costs, categories, etc.) Possibly help design a better structure if another platform would work better This is not a basic setup — this is a custom internal operations workflow for a hospital events department. Ideal Experience We are looking for someone with experience in: 17Hats (preferred) Monday.com / ClickUp / Asana / Airtable / similar tools Workflow automation CRM / project management setup Reporting dashboards Expense tracking systems Operations consulting (preferred) Experience with event planning workflows is a plus Work Schedule / Availability We are located in Florida (USA, Eastern Time). We are typically available between 9:00 AM – 7:00 PM EST for meetings and collaboration. This will likely start as a short-term project but could turn into ongoing work.
