We are looking for a highly capable CRM and automation specialist to help design and implement a robust end-to-end workflow for our education group. This is not a simple CRM setup or a few basic automations. We need someone who can think strategically, architect scalable systems, and then implement them properly. Our objective is to build an integrated operating system covering the full student journey from lead capture through to admissions, payment, enrolment, engagement tracking, and escalation. Core stack Pipedrive as the main CRM / system of record Zapier for workflow automation DocuSign for offer letters / agreements WhatsApp integration for communications Notion for internal operational dashboards / tracking Payment status integration LMS integration (Brightspace or similar) for enrolment and engagement tracking Scope of work We need support with: CRM architecture and process design Pipeline and field structure in Pipedrive Lead capture and allocation workflows Admissions processing workflows Offer generation and acceptance flows Payment tracking and status updates Enrolment trigger into the LMS Student engagement monitoring At-risk alerts and escalation workflows Internal dashboards and reporting Error handling / exception management Documentation and handover What we are looking for We are looking for someone who can do more than build basic automations. The ideal freelancer should be able to: design the overall architecture challenge assumptions and improve workflows build reliable multi-step automations handle exception cases, not just happy-path logic create admin visibility and operational control work in a structured, phased way document the system clearly for handover Ideal experience Strong preference for freelancers with experience in: Pipedrive Zapier API integrations / webhooks DocuSign WhatsApp / messaging integrations Notion education / admissions / enrolment workflows LMS integrations such as Brightspace, Moodle, Canvas, etc.
