HubSpot Database Manager (Part-Time Contractor) • Hours: 15-20 per week • Schedule: Must attend daily 7:00 AM ET call • Start: Immediate ABOUT GAI INSIGHTS GAI Insights is a market research and advisory firm focused on enterprise AI adoption. We serve Fortune 500 companies, leading private equity firms, and federal agencies. Our HubSpot CRM is central to our marketing and sales operations, with a database of 70,000+ contacts. THE ROLE We need an experienced HubSpot specialist to own the health and accuracy of our contact and prospect database. This is hands-on, detail-oriented work. You will clean, deduplicate, enrich, segment, and maintain our 70,000-contact HubSpot database on an ongoing basis. RESPONSIBILITIES • Audit and clean existing contact records: fix formatting errors, remove duplicates, merge records, and fill data gaps • Build and maintain list segmentation for targeted email campaigns and outreach • Standardize data entry conventions across all contact properties and custom fields • Create and enforce data hygiene workflows and automation rules in HubSpot • Monitor bounce rates, unsubscribes, and invalid emails; remove or suppress as needed • Enrich contact records using available data sources and tools • Coordinate and support sales and marketing campaigns • Identify and flag incomplete, outdated, or low-quality records • Generate regular reports on database health metrics (completeness, accuracy, engagement scoring) • Support integration between HubSpot and other platforms (Google Workspace, Substack, etc.) • Attend the daily 7:00 AM ET marketing operations standup (15 minutes) • Document all processes and maintain a data dictionary for HubSpot properties REQUIRED QUALIFICATIONS • 3+ years of hands-on HubSpot CRM administration experience • Proven track record managing databases of 50,000+ contacts • Expert-level knowledge of HubSpot contact management: lists, workflows, properties, imports/exports, and deduplication tools • Experience with HubSpot Marketing Hub and CRM features • Strong understanding of email deliverability best practices and list hygiene • Familiarity with data enrichment tools (Apollo, ZoomInfo, Clearbit, or similar) • High attention to detail and strong organizational skills • Reliable availability for the daily 7:00 AM ET standup • Intermediate proficiency with AI tools (ChatGPT, Claude, or similar). You will use AI daily to accelerate data cleanup, write formulas, draft communications, and troubleshoot HubSpot workflows. Candidates who do not actively use AI tools in their current work will not be considered. PREFERRED QUALIFICATIONS • HubSpot certifications (CRM, Marketing Hub, or Operations Hub) • Experience with HubSpot Operations Hub and data quality automation • Background in B2B or professional services data management • Experience integrating HubSpot with Google Workspace, Substack, and Slack • Familiarity with financial services or technology industry contact databases
