We are seeking a Open Claw Automation Specialist to build and optimize a high-touch customer engagement system powered by ManyChat, IntakeQ, Stripe/Square, and an Open Claw agent orchestration layer. The ideal candidate has experience designing chatbot journeys across Instagram, Facebook Messenger, W'app, and SMS, while connecting those conversations to booking, payment, intake, reminders, and human handoff workflows. In this role, you will create an AI concierge experience that responds instantly to inbound inquiries, qualifies leads, explains services, routes prospects based on their needs, and sends the correct booking or payment link. Instead of relying on Make or Zapier as the automation glue, you will use an Open Claw agent to coordinate logic between ManyChat, IntakeQ, payment systems, CRM/reporting tools, and office manager notifications. The goal is to create a seamless and premium client journey from first message to confirmed booking, post-session follow-up, and review generation, while ensuring that complex or sensitive cases are escalated to a human when needed. Core workflow This is the system you will help build and manage: Instagram / Facebook / W'app / text inquiry ↓ ManyChat AI concierge ↓ Asks questions, explains the service, and qualifies the lead ↓ Routes based on need and sends the correct booking or payment link ↓ IntakeQ handles booking, forms, packages, and payment ↓ Open Claw agent detects booking/payment events and triggers next steps ↓ Confirmation message sent automatically ↓ Appointment reminders ↓ Post-session follow-up, review request, and package offer ↓ Human handoff only when needed What you’ll be responsible for Building ManyChat flows for Instagram, Facebook Messenger, W'app, and SMS inquiries. Creating conversational logic that can thank leads, explain treatments, ask qualifying questions, and guide prospects to the right next step. Setting up routing paths for different inquiry types, including diffenreciating between staff sessions, and founder sessions requests, prenatal clients, gift purchases, house calls, and unavailable time requests. Connecting ManyChat with IntakeQ so leads can move smoothly into booking, intake form completion, and payment. Using an Open Claw agent to manage the orchestration layer between ManyChat, IntakeQ, Stripe or Square, CRM systems, Google Sheets, review tools, and internal notifications. Configuring event-based automations so that when a booking is created or payment is completed, the correct confirmation, reminder, intake, or prep message is sent automatically. Designing workflows for reschedules, cancellations, and exception handling, with office manager escalation when required. Creating post-treatment automations such as check-ins, review requests, package recommendations, and prompts for future sessions. Maintaining a luxury, human-centered experience by defining when the AI should hand off to a real team member. What this system should be able to do Respond instantly to new inquiries. Qualify leads with structured conversational flows. Explain services and answer common questions. if client is founders client only offer times with founder at founder rates. if not offer times and rates with our staff (our therapists) Detect special cases such as pregnancy, gift bookings in office or house visit, founder requests, or house calls. Send the correct booking, payment, confirm payment , inquiry link based on the conversation. if times on schedule isn't open communicate with employee ask them to confirm if they available for more opening, and tell prospect that your checking if schedule can be shifted. Confirm appointments after IntakeQ & Square are received by the Open Claw agent. Trigger reminders, prep instructions, and follow-up sequences automatically. Handle common reschedule and cancellation requests. out reach out to schedule next appointment and or package sale. Escalate complex, sensitive, post surgery(depending how long), acute injury or VIP cases to the office manager. Where human handoff matters We do not want to automate every interaction. The specialist should build clear escalation rules so that humans step in for: Founder bookings. VIP, celebrity, or referral partner clients. Complicated scheduling requests. House call logistics. Sensitive physical complaints. Exceptions to cancellation or payment policies. Ideal candidate Proven experience with ManyChat automation and chatbot design. Strong understanding of lead qualification, conversational UX, and customer journey mapping. Experience integrating booking and payment systems such as IntakeQ, Stripe, or Square. Ability to build logic-driven workflows using an Open Claw agent or similar agent-based orchestration framework. Familiarity with CRM syncing, notifications, review workflows, and operational reporting. Strong problem-solving skills and a proactive approach to improving automation performance. Good judgment around where automation should stop and human support should begin. Preferred stack ManyChat for Instagram, Facebook Messenger, Whatsapp,google number,tiktok and social messaging automation. IntakeQ for scheduling, intake forms, reminders, packages, and payment workflows. Square for payment processing. Open Claw agent as the orchestration and decisioning layer across tools. Google Sheets or CRM for logging and lead management. NiceJob, Podium, or similar tools for review requests and reputation workflows.
