We are not looking for a bookkeeper. We are looking for someone to architect and build a fully integrated financial system across multiple entities, with a focus on: Subscription revenue Intercompany transactions Automation and scalability This is both: 👉 Strategic (design/architecture) 👉 Technical (implementation + automation) If your experience is primarily: Categorizing transactions Reconciling accounts This is NOT the role. What We’re Building We operate multiple entities that: Transact with each other Share expenses Generate subscription-based revenue Require clean, real-time financial visibility We want a system that: Tracks all intercompany activity cleanly Automates recurring transactions Minimizes manual work Scales as we grow Scope: What You Will Be Responsible For 🔹 1. Subscription System Architecture Design a scalable structure for: Monthly recurring revenue Revenue allocation across entities Deferred revenue (if applicable) 👉 Goal: Clean, accurate, real-time tracking of subscription revenue 🔹 2. Multi-Entity Financial Flow Design Design how money moves between entities: Revenue sharing Expense allocation Intercompany loans/transfers Ensure clear visibility of: Who owes what Where money originates Profitability by entity 🔹 3. Automation & Integration Automate: Subscription revenue syncing Recurring intercompany transactions Expense allocations Integrate with: Bank accounts Stripe (or other payment processors) Any required tools 👉 Goal: Reduce manual work as close to zero as possible 🔹 4. System Usability & Reporting Build a system that is: Easy to understand Easy to maintain Easy to audit Create: Clean reporting structures Clear workflows for ongoing use 🔹 5. Data Integrity & Scalability Clean and consistent chart of accounts Proper categorization across entities Scalable structure for future growth What We Are NOT Looking For Basic bookkeeping Transaction entry Someone who needs step-by-step direction What We ARE Looking For Someone who: Has built multi-entity QuickBooks systems Understands: Intercompany accounting (Due To / Due From) Revenue allocation Automation workflows Thinks in: Systems Efficiency Scalability 🚨 REQUIRED: COMPLETE THESE TASKS Applications without these will NOT be reviewed. ✅ Task #1: Multi-Entity System Design You have 3 companies: Company A → Subscription revenue (Stripe) Company B → Marketing/expenses Company C → Fulfillment/services Revenue from A must: Be allocated to B and C Include shared expenses Handle occasional intercompany loans Question: Design the ideal QuickBooks structure. Include: Separate files vs single file (and why) Chart of accounts structure Intercompany tracking method (Due To / Due From, etc.) How transactions flow between entities ✅ Task #2: Automation & Workflow We want to minimize manual work.
