Automation & AI Workflow Specialist (n8n / Zapier / APIs) Project-Based | Hospitality & Tourism Businesses We are looking for an Automation & AI Workflow Specialist to help streamline operations across our tour companies and restaurant by building practical automations between the systems we use. Our goal is to reduce manual work, improve financial accuracy, and automate repetitive operational processes. We prefer to work project by project, starting with a few high-impact automations and potentially expanding into a longer-term collaboration. Our Current Systems Our companies currently operate using the following tools: -FareHarbor (tour reservations and bookings) -Clover POS (restaurant point of sale) -Homebase (restaurant scheduling and time tracking) -QuickBooks Online (accounting) -ADP (payroll) -MarketMan (restaurant inventory management) -Podium (customer messaging, phone, SMS, and review management) -Google Workspace / Google Sheets -Notion (internal knowledge base and dashboards) -Slack (team communication) -Asana (task and project management) We are interested in building reliable automation between these systems using tools such as n8n, Zapier, APIs, and AI tools where appropriate. Initial Automation Projects We will begin with several operational and financial automation projects. 1. Payroll Data Automation (Tours + Restaurant) Combine data from: -FareHarbor (tour activity) -Homebase (restaurant time tracking) -ADP (payroll system) to automatically generate payroll calculations and summaries. 2. Revenue Recording Automation Automatically summarize daily revenue from: -FareHarbor (tours) -Clover POS (restaurant) and create accurate revenue entries in QuickBooks. 3. Review Request Automation -After tours or restaurant visits are completed, automatically send SMS or email requests asking guests for reviews. 4. Operations Dashboard Build a simple dashboard showing: -bookings -revenue -occupancy -labor metrics -key operational KPIs Required Skills The ideal candidate will have experience with: -n8n, Zapier, or Make -API integrations -Webhooks -Google Sheets automation -basic scripting (JavaScript or Python helpful) -SaaS integrations -workflow automation design -Experience integrating with QuickBooks, booking systems, POS systems, or hospitality software is a strong plus. What We're Looking For We want someone who: -builds simple, reliable automations -understands business workflows -can recommend efficient solutions -documents the workflows they build This role is focused on practical implementation, not theoretical AI consulting. Engagement Structure We prefer to work project by project. Typical project scope: -5–15 hours per automation project -If the collaboration works well, we expect ongoing automation work.
