My work centers on insight, deep reflection, education, and transformation. To do that well, I need a grounded, strategic partner who can design and manage the systems that hold the business. This is not just about organization. It’s about building a thoughtful, functional infrastructure that supports real human transformation. This is a long-term, collaborative role. As the business grows, this position may evolve into a more senior operational leadership role. About the Position The Role at a Glance You will lead and support: - Kajabi systems & automations (core focus) - Client journey design (lead → enrollment → active client → alumni) - Lead nurture & email systems - CRM organization & tagging architecture - Project management systems (Trello → potentially Asana) - Ongoing operational support and optimization What You’ll Be Doing Kajabi Systems & Automations (Primary Focus) - Build and maintain pipelines, automations, and email sequences - Design and manage tagging systems and CRM organization - Create seamless client journeys across all offers - Set up and refine onboarding and offboarding systems - Troubleshoot and optimize existing workflows Lead Nurture & Communication Systems - Build and manage long-term nurture sequences - Segment leads based on behavior and interest - Support ongoing email communication systems - Ensure consistent, thoughtful follow-up and no dropped leads Client Experience Systems - Create structured onboarding and offboarding flows - Support systems for tracking client engagement and progress - Ensure clear, timely, and human-centered communication - Project Management Systems - Organize and maintain project workflows and task management - Improve or redesign current Trello system (or migrate to Asana if appropriate) - Create clear, sustainable operational workflows Documentation & SOPs - Document systems and processes clearly - Build internal infrastructure that can be maintained and scaled - Help create a cohesive “operating system” for the business Timeline & Structure This role begins with a focused build phase, followed by ongoing maintenance and support. Phase 1: Systems Build (First 1–2 Months) 10–15 hours/week Focus: Kajabi system setup (pipelines, automations, tagging) - Client journey infrastructure - Lead nurture systems - Project management organization Phase 2: Ongoing Support (After Initial Build) 5–8 hours/week Focus: - Maintaining and optimizing systems - Supporting ongoing operations - Light improvements and troubleshooting Compensation - Competitive hourly rate, depending on experience and scope. - Higher hours during initial build phase, then reduced ongoing hours - Potential to grow into a long-term operational or retainer-based role Essential Skills & Characteristics You don’t need to be perfect at everything—but you should be strong in most of the following: - Proven experience with Kajabi (required) - Experience building automations, pipelines, and email systems - Strong systems thinking and organizational skills - Ability to translate ideas into workflows and implementation - Clear written communication - Comfort managing multiple moving parts Nice-to-Have - Experience with Zapier or integrations - Experience with email marketing strategy - Familiarity with coaching, education, or content-driven businesses - Experience with both Trello and Asana About Us This is a values-driven, meaning-centered business rooted in philosophical inquiry, emotional intelligence, and deep human care.
