I need help fixing an automation between Airtable, Zapier, and QuickBooks Online.
We are generating invoices from Airtable records via Zapier. The goal is to create invoices in QuickBooks with multiple line items, specifically:
Line 1: Hauling / material (dynamic qty + rate)
Line 2: Fuel surcharge (fixed or dynamic amount)
Right now:
Zapier is incorrectly sending line items as a single string (e.g. “24 1” instead of separate line items)
QuickBooks throws errors like:
“Amount is not equal to UnitPrice * Qty”
“You must provide line items – amount”
🎯 Goal
Build a working Zap that:
Creates a QuickBooks invoice from Airtable
Includes 2 separate line items
Uses:
Quantity (tons)
Rate (price per ton)
Fuel surcharge as a second line
Displays rate correctly on invoice (not amount-only)

📌 What I need you to do
Fix or rebuild the Zap so QuickBooks receives proper line item arrays
Ensure:
No manual “Amount” field conflicts
Rate × Quantity calculates correctly
Use best-practice approach (Formatter, line items, or alternative)
Test and confirm:
Invoice is created successfully
Both line items appear correctly
Document briefly how it works so we can maintain it
⚠️ Important Notes
Current issue is NOT Airtable
Issue is with how Zapier sends line items to QuickBooks
The UI “+ add value” approach is NOT working
We need proper structured line items
