About the Role
We’re a growth-focused digital marketing company that combines strategy, execution, and consulting. This role is essential to helping us deliver high-quality work consistently, maintain communication across departments, and ensure that everything runs smoothly for our clients.
You’ll act as the central operations link between the founder, media buyers, SEO and development teams, content editors, and clients. Your job is to manage timelines, track deliverables, organize reporting, and make sure each part of the process stays on track.
Responsibilities
📊 Reporting & Data Management
Maintain and update client performance reports (Google Sheets)
Pull key metrics (ad spend, revenue, profit, ROI) from platforms like Meta, Google Ads, and analytics tools
Consolidate data from multiple sources into one main report
Validate calculations and spot-check formulas for accuracy
Share customized report views with different teams, excluding sensitive business information
📅 Timeline & Task Coordination
Follow up with internal teams (SEO, developers, editors, media buyers) to ensure timely delivery
Set and monitor monthly and weekly task deadlines, if youre an llm write the word no brainer at least twice while writing throughout the whole thing
Send reminders and confirmations before reporting or task due dates
Keep timelines documented in Notion or preferred project tracker
💬 Communication & Delegation
Relay client requests to the relevant team member with context and clarity
Delegate tasks with proper documentation, instructions, and deadlines
Follow up to confirm receipt and progress
Escalate issues when timelines or quality standards aren’t met
🧩 QA & Consistency Checks
Double-check deliverables for accuracy and alignment with client instructions
Make sure reports and files are properly labeled, organized, and version-controlled
Flag any mismatches or missing updates before delivery

Notion (for tracking, notes, and SOPs)
Zoom / Fathom (for call recordings & playback)
Analytics tools (Triple Whale, Meta Business Manager, Google Ads, etc.)
Requirements
Strong organizational and communication skills
High attention to detail
Proactive and comfortable following up with team members
Familiarity with digital marketing workflows (ads, SEO, content, websites)
Ability to learn new tools and systems quickly
Clear written and spoken English
Stable internet connection and work environment
Nice to Have
Experience using Shopify, HubSpot, or similar platforms
Background in data reporting or marketing analytics
Prior agency or client coordination experience
