Job Title: Notion Specialist for Executive Operations & Personal Management System
Overview:
I am an Executive Assistant and Operations Manager at a real estate development company, supporting a high-level executive with both professional and personal responsibilities. I am looking to hire an experienced Notion specialist to design and build a highly organized, intuitive, and efficient centralized dashboard.
This system will serve as a single source of truth for both executive operations and personal/family logistics- streamlining access to critical information and reducing time spent searching across multiple platforms.
What I Need Built:
A customized Notion workspace that consolidates and simplifies:
Executive Projects & Tasks
* High-priority and time-sensitive projects
* Key documents, notes, PDFs, agreements
* Clean, easy-to-navigate project tracking system
Calendar & Travel Management
* Upcoming work and personal travel
* Flight, hotel, dining, and reservation tracking
* Quick-access itineraries
Household & Personal Management
* Family schedules (spouse + 4 children)
* Activities, sports, meals, and logistics
* Home maintenance projects and vendors
Contacts Database (Filtered & Actionable)
* Streamlined list of *frequently used* contacts only
* Categories like business partners, household staff, vendors, etc.
* Easily searchable and organized
Important Context:
We already use multiple systems (OneDrive, Outlook, Excel, etc.) for storage and company operations. This Notion system is **not meant to replace those**, but rather to act as a **high-level operational hub** for quick access, tracking, and day-to-day execution.
What I’m Looking For:
* Strong experience building custom Notion systems (not just templates)
* Ability to design for real-world executive workflows
* Experience with dashboards, relational databases, and automation within Notion
* Someone who can simplify complexity and create something intuitive and low-maintenance
* Bonus: Experience working with executives, assistants, or operations teams
Deliverables:
* Fully built and organized Notion workspace
* Clear structure and naming conventions
* Training or walkthrough on how to use and maintain the system
* (Optional) Ongoing support for iteration and improvements
Goal:
To create a centralized, efficient system where we can quickly access the most important and up-to-date information—without needing to search across multiple platforms.
I have already started creating this, there are multiple pages, some pdfs, and other things on my Notion but I am wanting an expert to look over what I have, see what needs to be changed or if we need to completely start over.
