Job Description: We are a digital marketing agency based in Australia looking for an experienced automation specialist to design and build a comprehensive, AI-powered automation system for our team. The system will use n8n Cloud as the automation engine and the Claude API (Anthropic) as the AI layer, connected to our existing tech stack. The goal is to eliminate manual admin work across copywriting, task management, client onboarding, and meeting follow-up, and replace it with intelligent, event-driven workflows that run automatically in the background. We have already defined the architecture we want. We are looking for someone to build it, test it with our team, and document it so we can maintain it internally. Tech Stack - n8n Cloud (automation engine) - Claude API — claude-sonnet-4-6 (AI layer) - ClickUp (project management) - Google Drive + Google Docs (document storage) - Slack (team communication) - Fathom (meeting transcripts — open to switching if a better option exists) - Google Meet - GoHighLevel Automation #1 — Copywriting Workflow When a task is created in ClickUp with a designated copywriting task type (e.g. headlines for static ads, ad copy, email, blog): - n8n detects the new task via ClickUp webhook. - n8n identifies the task type and selects the corresponding pre-built Claude system prompt for that content type. - Claude writes the copy using the brief in the task description, client guidelines/based on established client folders in Claude, and the type-specific prompt. - n8n creates a Google Doc with the copy and saves it in the correct client folder in Google Drive. - The Google Doc link is posted back into the ClickUp task. - A Slack notification is sent to the creative team confirming the copy is ready for review. Outcome: Copywriting tasks are drafted automatically the moment they are submitted, with zero manual AI interaction required. Automation #2 — Meeting Task Extraction + ClickUp Job Creation (All Staff) After every client meeting, when Fathom produces a transcript: - Fathom fires a webhook to n8n containing the transcript, meeting title, date, and participants. - n8n identifies which team member the meeting belongs to using the Fathom payload. - n8n sends the transcript to Claude with our internal brief template baked into the system prompt. - Claude analyses the transcript and returns a structured JSON array — one object per task identified in the meeting. - n8n loops through the array and creates a ClickUp task for each item, with the formatted brief as the task description, assigned to the correct team member. Note: Multiple team members across the agency hold client meetings. The workflow must correctly attribute and assign tasks regardless of who ran the meeting. No duplicate tasks should happen if multiple team members attend a meeting. Outcome: Every action item discussed in any client meeting is automatically turned into a fully briefed ClickUp job — for every staff member, without anyone having to do it manually. Automation #3 — Client Onboarding Research Report When a client onboarding call is completed (identified by a naming convention or tag in Fathom): - Fathom fires a webhook to n8n. - n8n routes the transcript to a separate onboarding workflow (distinct from Automation #4). - n8n sends the transcript to Claude with a deep research system prompt. Claude extracts the client's business details, goals, target audience, competitors, and pain points from the conversation, then uses the Claude API's web search tool to research the company and industry further. - Claude produces a comprehensive report covering the client's business, their ideal customer profile, and everything relevant for us as their marketing agency to do our best work. - The report is formatted using our pre-defined template and saved as a Google Doc in the client's folder in Google Drive. - A Slack notification is sent to the team with a link to the document confirming it is ready. Outcome: A thorough client and market research document is produced automatically within minutes of every onboarding call, ready for the team before they begin any strategy or creative work. Project Scope We are looking for someone to: - Set up and configure n8n Cloud with all necessary credentials and integrations - Build all five workflows as described above - Configure Claude API prompts for each workflow (we will provide brand guidelines and brief templates) - Set up Fathom webhooks and ClickUp webhooks as triggers - Configure Google Drive service account for reliable, non-expiring authentication - Build in error handling and failure notifications for each workflow - Test the full system end-to-end with our team - Provide clear documentation so we can maintain and modify workflows internally What We Are Looking For We want someone who: - Has built production-grade automations using n8n and the Claude or OpenAI API - Is experienced integrating Google Workspace, Slack, ClickUp, and AI models - Understands webhook-driven, event-based architecture - Can design reliable, scalable workflows with proper error handling - Can configure and tune AI prompts for structured, consistent outputs Bonus if you have experience with: - Prompt engineering for structured JSON outputs from LLMs - Meeting transcript integrations (Fathom, Fireflies, Otter, etc.) - ClickUp API (webhooks, custom fields, task assignment) - Process automation for marketing or creative agencies
